Most Tampa owners we talk to can tell us what their building brings in. Fewer can tell us what it clears. The gap between those two numbers is where a commercial building quietly gets into trouble, and it is almost never visible in the monthly report, because the monthly report is built to show that the month went fine.

It usually goes like this. Net operating income looks steady year over year, so nothing raises a flag. Then insurance renews higher than anyone budgeted. A suite rolls and the tenant improvement allowance and the commission land in the same quarter. The county's assessment comes in above last year and the window to argue it closes in twenty-five days. None of those show up as a line called "problem." They show up as a year that felt tighter than the statement said it should.

That is not a failure of attention on your part. It is what happens when the person reading the building reads it as an account to be administered rather than as an asset somebody owns. Rent gets collected, work orders get closed, the report goes out on the fifteenth, and nobody is asking the question an owner asks: what is this building actually going to cost me over the next eighteen months, and what would I change today if I were writing the checks?

We will walk the building with you, read your last twelve months, and give you a written assessment. It covers four things:

  • Operating cost per square foot, line by line, next to what comparable buildings we run actually cost. Property tax, insurance, utilities, repairs and maintenance, and the management fee are where the money moves; we will tell you which of yours is out of step and which is fine.

  • Your rent roll read as effective rent — what each lease pays after free rent, improvement allowances and commissions — rather than the face rent on the schedule. This is the number your lender and any buyer will use.

  • The next eighteen months of lease expirations, with what each rollover is likely to cost to fill or renew, so the leasing spend is on the calendar before it is on the statement.

  • What we would change in the first ninety days, and what we would leave alone.

What we run in Tampa

Our office is in Clearwater, about thirty minutes from most of Hillsborough County, and we manage property in Tampa from it. How we read a building

We publish the method rather than describing it. These are the same four readings that go into your assessment, written out in full:

What to ask any Tampa property manager before you sign

This applies to us as much as to anyone else. Four questions worth asking, and what a straight answer sounds like:

"Who actually manages my building day to day, and how many others do they carry?" You want a name and a number, not a department. Ask to meet that person before you sign, not after.

"How is your fee calculated, and what is billed on top of it?" Ours is a percentage of property revenue plus leasing commissions. The percentage depends on the asset, the size and the condition, so nobody should quote you a rate on a first call without seeing the building — including us.

"What does your monthly reporting show that the last manager's did not?" If the answer is "a portal," ask what is in it. Occupancy, collections and work orders are table stakes. Operating cost per square foot, effective rent by lease, and a rolling eighteen-month expiration schedule are the ones that change decisions.

"Can I leave, and how?" Read the term and the termination clause before the fee. A manager who is confident about the work does not need a long lock-in to keep you.

Do you manage commercial property in Tampa?

Yes. We manage buildings in Tampa, including Premier North on Premier North Drive and Main Street Plaza on North Dale Mabry Highway, and we work across Hillsborough County from our Clearwater office.

What types of property do you manage?

Office, medical, retail, industrial and multifamily. For multifamily we take communities of twenty units or more. We do not manage single-family rentals or homeowners associations.

What does the assessment cost, and what is the catch?

Nothing, and there isn't one. We walk the building, read your last twelve months, and give you the write-up. You keep it whether or not you hire us. We do it because the owners who read a straight assessment of their building tend to want it run that way afterwards — and because some of them we will tell to stay where they are.

Do I have to leave my current manager to ask for one?

No. Plenty of owners ask for an assessment while they are still under agreement, to see whether what they are getting is competitive. If it is, we will say so.

How are your fees structured?

A percentage of property revenue, plus leasing commissions. The percentage depends on the asset type, the size and the condition of the building, so we will not quote one until we have seen it.
